People and Culture Operations Coordinator

Short Summary:

As a key part of the global People & Culture team, supporting both the Australian and UK business, the P&C Operations Coordinator is responsible for supporting and executing key activities associated with the full employee lifecycle all while maintaining a positive employee experience. This role plays a vital part in accurate employee data and systems management, supporting compliance, learning and development and WHS activities, ensuring P&C processes and procedures run smoothly and efficiently.

What about the role:

Global

  • Support the day-to-day administration and ongoing maintenance of our HRIS (Employment Hero), FinOps (ERP), Jira, Organisational Charts, Culture Amp and Litmos, ensuring data accuracy and usability.
  • Maintain and regularly update key operational spreadsheets, including the Masterfile (position management) and Lifecycle report.
  • Assist with generating accurate reports from employee data systems, supporting internal reporting needs such as work anniversaries.
  • Assist with the review and implementation of P&C policies and procedures in collaboration with key stakeholders.
  • Help ensure policy maintenance and compliance with review cycles.
  • Be responsible for the administration of the Litmos Learning Management system, including the allocation of training and compliance reporting requirements.
  • Supporting the administration of learning initiatives, such as coordinating room bookings, participant record keeping, learning communications and post learning survey administration.
  • Assist in updates to performance, remuneration, and talent acquisition processes, as needed.
  • Support and participate in delivering People & Culture project outcomes where required.

Australia

  • Coordinate onboarding and offboarding activities to meet deadlines and ensure accurate communication with payroll.
  • Support the administration of employment variations, ensuring documentation and approvals are processed efficiently.
  • Work closely with P&C Business Partners and Talent Advisors to ensure all employee queries and general P&C administration is actioned.
  • Data entry support of information required to process the fortnightly pay cycle.
  • Support the preparation of compliance reporting, and reporting for other statutory obligations such as right to work, contract renewals, monitoring of casuals.
  • Provide administrative support to the WHS Committee and coordinate related activities.
  • Assist in the documentation and follow-up of WHS incidents, supporting implementation of safety measures where required.

EMEA

  • Support the administration of employment variations, ensuring documentation and approvals are processed efficiently.
  • Monitor and raise any issues with Driver check.
  • Send DBS links and monitor renewals and any queries raised on the DBS’s.
  • Action and distribute Holiday reports to line managers, SLT and team members.
  • Send Trust ID links, to ensure right to work documentation is correct and raise any non-compliance.
  • Probation period invites and completion monitoring.
  • Provision of reporting for length of services awards.
  • Check onboarding tasks, including but not limited to – invite to all hands, updating life tracker, check for receipt of DIS, medical questionnaires forms.

About you:

  • An innovative and critical thinker with strong analytical and problem-solving skills.
  • Comfortable working in ambiguity – building the plane while flying it.
  • A roll your sleeves up attitude to work in a lean team without lots of supporting technology infrastructure.
  • Strengths in working as a member of a collaborative team, but comfortable in being self-directed and able to work autonomously as needed.
  • Excellent verbal and written communication skills with strong attention to detail.
  • Collaborative and supportive with a strong team focus.
  • Strong stakeholder management and engagement ability.

What experience or qualifications do you need:

  • Tertiary qualifications in human resources or other relevant discipline.
  • Well-developed skills in the Microsoft Office Suite, particularly in Excel.
  • Experience working with and optimising HRISs.
  • Understanding of Australian employment laws and compliance obligations, including industrial instruments, government reporting obligations, WHS compliance and the Fair Work Act.
  • Exposure to and understanding of payroll and the linkage to HR.
