Short Summary

Our Project Support Officer works within our Deployment Team to develop and implement project management structures and tools that enable the consistent and effective deployment of our software products.

Key Responsibilities of the role:

  • Working with their assigned Project Management Team to ensure that software deployment remains on time and schedule within the agreed milestones.
  • Developing, documenting, and maintaining programme and project management structures, frameworks, and tools and supporting project managers and other colleagues to use these consistently and effectively
  • Maintaining central project records and establishing project controls, contributing to the development of programme and project documentation including, resourced project plans including allocation of work packages, project highlight reports, identification and logging of issues & risks including appropriate escalation protocols and project reporting including status reports, RAID logs and project dashboard
  • Preparing for and leading project RAID and Action Log meetings.
  • Providing secretariat to Programme and Project Boards as needed and attending project team meetings
  • Providing flexible, hands-on delivery support and assisting with effective communication between project management and the business whether that be remote or on site working
  • Managing professional relationships with a wide range of internal and external stakeholders, and act as lead point of contact for some external parties
  • Establishing benefits log and monitoring benefits realisation
  • Supporting project closure and lessons learned
  • Conducting onboarding sessions for new starters to the Pathology Team
  • To be responsible for the company credit card, including following process for approvals, managing bookings, reconciliation and receipts
  • Co-ordinating project resources, ensuring they are informed in advance of any on site work, requesting additional resource support where required from the Programme Resource Manager and ensuring the weekly tracker is up to date
  • Providing administerial duties to the Pathology Team including the planning of and booking of travel and accommodation for those working onsite with the client
  • PMO Interface with the central PMO (if applicable), e.g. “Ensure data integrity across project dashboards, RAID logs, and weekly progress reports feeding into the central PMO.”
  • Support configuration of project tracking tools and standard reporting templates (e.g. milestone trackers, dependency matrices, benefits logs, etc.).”
  • Support the coordination of communications between internal technical teams, implementation specialists, and external client stakeholders, ensuring consistent messaging and documentation
  • Ensure project artefacts are version-controlled and stored within the agreed repository
  • Assist in preparation of client-facing documentation, such as cutover schedules, and training logs, test reports etc.
  • Be a key component In our build process managing both internally and externally
  • Providing holiday cover for other members of the PSO team

Experience:

  • Experienced in using Microsoft Office and MS Teams
  • Experienced in supporting substantial software implementation projects within the NHS/Private Health Care sector
  • Prince 2 or Similar Project Management Qualification (Desirable)
  • Experience using Jira or Confluence (Desirable)
